Executive Assistant Knightsbridge, London Hybrid working model – 4 days in office

About the Role: We are looking for a proactive, professional, and warm individual to provide first-class support to senior leadership. The successful candidate will thrive in a fast-paced environment and bring a strong sense of initiative and attention to detail.
Key Responsibilities:
Efficient calendar management and meeting coordination ( in person or virtual) across global time zones including booking meeting rooms as needed
Preparing meeting rooms, ‘meeting and greeting’ guests and making refreshments for in-person meetings
Organising complex international travel, including flights, accommodation, transfers, and visas and any other necessary travel-related documentation
Preparing and reconciling expense reports
Coordinating internal and external meetings, including investor events and offsites
Managing stakeholder communications and maintaining up-to-date contact databases
Collaborating with the wider EA team and supporting ad hoc tasks as required
Supporting, and on occasion leading on, the coordination of networking and social dinners and events, including the Annual Investor Conference and the Apis Annual Offsite
Maintaining up-to-date records and contact information
About You:
Proven experience supporting senior executives, ideally within financial services, or a similarly fast-paced setting such as consultancy
Highly organised with strong multitasking abilities
Excellent written and verbal communication skills
Professional, calm, and personable with high emotional intelligence
Strong IT skills including full Microsoft Office suite (Word, Excel, PowerPoint)
A team player with a positive, can-do attitude
